Define what the initial order needs to establish
Write down the questions the initial order is intended to answer, such as whether the selected specification, packaging and product mix meet the intended requirements. A trial order and a replenishment order can have different purposes, so they should not automatically use the same quantity.
Confirm the minimum for the selected specification
Ask for the minimum quantity associated with the exact model and requested customization. Keep standard packaging and private label packaging separate in the request. Do not apply a general minimum from an article to a specific quotation without confirmation.
Compare equivalent quotations
Check that quantities, model versions, packaging and included services match before comparing quotations. Note which costs are included and which remain to be confirmed. A lower quoted unit figure does not by itself explain the complete order arrangement.
List quantities by model or variation rather than keeping only a total unit count. This makes it easier to identify what is being requested and what would need to be replenished later. If a variation is unavailable or changes, update the record before relying on the original total.
Keep branding changes separate
Logo, packaging and product changes can introduce questions that do not arise in an unchanged reorder. Document the requested changes and ask for their effect on quantities and timing. Availability of private label work should be confirmed for the relevant model, not inferred from a general statement.
Review the actual order record and outstanding questions before discussing a larger order. Keep any later decision tied to the information available for that project. This checklist is a way to organize questions, not a promise of sales, margins or a particular business outcome.
