Distributor Planning: Inventory Records and Supplier Communication

Inventory and supplier discussions are easier to follow when they use the same model and order records. Organize the information needed for replenishment, support and changes without treating a supply arrangement as a promise of profitability.

Maintain a model-level inventory record

Identify quantities by model and variation rather than keeping only a total. Record which items are part of the current plan and which are still under consideration. This gives a replenishment enquiry a specific starting point.

Keep supply information current

Ask for the terms and schedule relevant to the next request. Separate confirmed arrangements from estimates or historical information. A previous delivery experience does not, on its own, establish the schedule of a later order.

Organize feedback and support questions

Keep product observations and support correspondence linked to the relevant model or order. Identify which questions have been answered and which need follow-up. This gives the supplier useful context and helps avoid repeating an unresolved issue in the next enquiry.

Review the plan before changing quantities

Use the current inventory record, outstanding questions and proposed arrangements when discussing a change. Document what has been agreed. The purpose is to make the decision better informed, not to predict sales or guarantee a margin.
