Identify the parties and their responsibilities
List the organizations involved in supply, import, distribution, retail and customer support. Record who is responsible for each stage. If a task has not been assigned, leave it as an open item rather than assuming that another party will handle it.
Separate the existing product specification from proposed changes to branding, packaging or appearance. Ask which changes can be considered for the selected model and which require a separate discussion. Keep the requested version clear so that the parties are not comparing different specifications.
Request the relevant documentation
Ask what documentation is available for the exact model and intended destination. Record the document title, model reference and any limitations stated in it. A broad statement about compliance is not a substitute for reviewing the applicable documents; unresolved requirements need an appropriate qualified review.
Discuss the proposed starting quantity, minimum quantities associated with the requested customization and how later orders would be handled. Do not assume that a quantity mentioned for one model applies to every model. Keep inventory responsibilities separate from manufacturing responsibilities.
Document packing and delivery arrangements
Record the requested packaging, shipping destination and the information needed to plan delivery. Ask which dates are confirmed and which are estimates. Keep the agreed schedule and each party's responsibilities together in the project record.
